Registration FAQ for IMMUNOLOGY2025™
How do I register in advance?
To register for IMMUNOLOGY2025™ Login into your AAI member account and click the register button to begin registration.
Early registration runs from December 12, 2024 – April 4, 2025.
Regular registration runs from April 5 – May 2, 2025.
What are the registration rates?
Registration rates for IMMUNOLOGY2025™ are available on the website.
What does my registration fee include?
Registration includes access to:
- The President’s Program
- 10+ Career Award presentations and lectures
- over 200 scientific sessions
- the exhibits hall to meet exhibitors of interest to immunologists
- the IMMUNOLOGY2025™ Opening Night Reception
- over 2,500 poster presentations and 6 unopposed poster sessions

Is there an exhibit hall only registration fee?
No. To visit the exhibit hall or attend any part of IMMUNOLOGY2025™, you must register for the entire meeting.
Do I have to be a member to register for IMMUNOLOGY2025™?
No, membership is not required to attend the meeting. AAI members enjoy discounted registration rates for IMMUNOLOGY2025™. Visit our website to find out how to become a member. When you join AAI you will have immediate access to the member rates and could save $310-$420 in registration rates, depending on when you register.
Do I have to register and pay the registration fee if I submitted an abstract?
Yes, you must register and pay the registration fee to present your abstract at the meeting. The abstract submission fee is a separate fee and does not include registration to the annual meeting.
What registration category should I use if I am “in training”?
You should register as a Trainee if you fall within the following AAI Membership Trainee categories:
- Postdoctoral fellow (or medical resident) in an immunology (or related) training program.
- Young professional/post-baccalaureate student within 5 years of receiving a BA/BS or equivalent degree
- Graduate student in an education/training program that could lead to a career in immunology or a related field.
- Undergraduate student enrolled in an undergraduate program with an interest in Immunology.
I am a high school teacher. How do I register?
High school teachers must register onsite. Please bring your teacher ID card or a letter signed by your department head, research advisors, or principal.
I am a high school student. How do I register?
High school students must register onsite. Please bring your student ID card or a letter signed by your department head, research advisors, principal, or teacher. We request that high school students be always accompanied by a registered adult. Appropriate behavior by all students is expected and required.
I am an undergraduate faculty member. How do I access the Undergraduate Institution Faculty (UIF) rate?
To access the Undergraduate Institution Faculty (UIF) rate, your institution will need to be listed as a Primarily Undergraduate Institution (PUI). Once you have confirmed your institution is a PUI, there is an option to select the UIF registration rate. AAI will notify you if there is an issue with your registration selection.
Who do I contact if I am unsure about the rate I should receive, or the wrong rate is offered?

Are there group discounts?
No, there is no discount available for multiple registrations from the same organization.
Payment options
Your meeting registration payment can be paid with a credit card or bank transfer. If you wish to pay by check, please reach out to meetings@aai.org for a physical registration form. Electronic transfers are accepted (though the transfer fee will be your responsibility) but AAI does not accept purchase orders.

Will I receive my badge prior to traveling to the IMMUNOLOGY2025™?
You will be able to pick up your badge onsite upon arrival.
What do I do if I’ve lost my badge?
You may purchase a replacement badge at the registration area of the convention center. Each replacement badge will cost $50.
Who may I inform if I have additional needs?
If you have a disability or additional needs that may impact your participation in IMMUNOLOGY2025™, check the appropriate box when registering and describe your needs. AAI Staff will contact you before the meeting to discuss your needs. AAI cannot ensure the availability of appropriate accommodations without prior notification of need.
May I substitute someone in my place?
It is permitted for a meeting registrant to have a substitute. If the substitute’s registration fee is less than the original registrant’s, the difference will be refunded. If the substitute’s registration fee is more, the registration will be held until the balance is paid and the original registrant submits the substitute’s contact information with written request for substitution. Send requests to meetings@aai.org by Friday, April 4, 2025. No substitution requests will be processed onsite and refunds will not be issued for no-shows.
Will I be able to register onsite?
Yes, but there will be an additional $100 fee to register onsite.
May I bring a guest to the meeting?
Anyone attending the meeting to attend any sessions or visit the Exhibit Hall must be a registered attendee.
Guest tickets are available for purchase to attend the IMMUNOLOGY2025™ Gala. You may purchase one for you and for your guest when registering for the meeting. You can purchase tickets for the Gala after you have registered by revisiting your registration. A link to access your registration can be found in the confirmation email which was sent to you after you completed your registration.
What is the deadline to register for IMMUNOLOGY2025™?
You may register up until the last day of the meeting (Wednesday, May 7, 2025). The onsite registration fees take effect on Saturday, May 3, 2025.
Where and when can I pick up my registration badge and materials?
Registration is located on the Lobby Level of the Convention Center. Registration opens at 8:00 AM on Saturday, May 3, 2025.
How can I get a letter of invitation?
A Letter of Invitation template can be found in your registration confirmation email.
When will I receive my confirmation email?
Confirmation emails are sent immediately after you complete registering for the meeting. If you haven’t received one, please check your junk and trash folders. If you still don’t find it, please email meetings@aai.org.
What is the IMMUNOLOGY2025™ cancellation policy?
If you cancel by 11:59PM Eastern, April 4, 2025, you will be refunded half of the registration fee. All monies paid for tickets (First Things First, Roundtables, Careers in Biotech, Gala, Gala guest tickets) will be refunded at face value. There will be no refunds after April 4, 2025. To cancel, please email meetings@aai.org with your badge number and name.
What hotels can I book through IMMUNOLOGY2025™?
In partnership with onPeak, we have secured discounted rates at a selection of Honolulu hotels. Visit our website to take advantage of these rates and book your stay.
Is there a shuttle to/from my hotel?
There are no shuttles from the hotels. All hotels are within walking distance of the Convention Center.
I am considering bringing my family with me. May I do so?
Children aged 13 and older are welcome to attend IMMUNOLOGY2025™ if accompanied by a registered adult. Children under the age of 13* may not attend and are prohibited from entry into the Exhibit Hall, session rooms, or hallways in the meeting area. No children will be allowed entry into social events.
*Babies under age 1 who are being carried or in a baby carrier (i.e., baby sling; no car seats/strollers will be permitted) may accompany their parent/guardian in the Exhibit Hall only. Babies may not be placed on the floor or left unattended.
Where is the nursing lounge/lactation room?
There is a Mamava Lactation Suite on the Lobby Level, next to Exhibit Hall 1 of the Hawaii Convention Center. Please download the Mamava Mobile App to unlock the suite.
Is there childcare available?
Access to childcare will be available and is currently being finalized. Please check the meeting website for additional details as they become available.
What is the expected weather?
Generally, there are two seasons in Hawaiʻi : Winter (November-April) when temperatures typically range in the low-70’s to mid-80’s, and summer when the high can run into the low- 90’s. Trade winds keep you comfortable year-round.
What is the dress code?
Dress code is “resort wear” even at the most luxurious resorts and restaurants. There is usually no need to bring a formal coat or tie. Please dress for comfort. T-shirts, tank tops, polo shirts, shorts, jeans, sundresses, sneakers and sandals are all good choices.
