Abstract Submission Guidance for IMMUNOLOGY2025™
We strongly encourage you not to wait until the deadline to submit an abstract for IMMUNOLOGY2025™. To prepare for your submission, be sure you have renewed your membership dues for 2025, if you want to take advantage of member discounts or apply for student/postdoc awards. You can join AAI before starting your abstract submission.
- Check that you have the correct spellings of all author names and company/institution.
- Abstract title should be no more than 200 characters (including the spaces).
- Abstract text including any optional support/funding information should be no more than 1,500 characters (including spaces).
- Have someone help you proofread your Abstract title and text.
- Decide which of AAI’s topic areas best align with your work. Details of topic category options are available on our website.
- If applying for a AAI Travel Award, ensure that the Presenting Author meets the eligibility criteria. Applying for a Travel Award is a separate process from submitting an abstract.
- If you are an AAI member, have your AAI membership email or member number ready. If you are not an AAI member, please join to have access to the complimentary submission fee. If you are not able to join, you will be able to submit without this information.

Is there an abstract submission fee?
There is no fee for AAI members (membership period through December 31, 2024) to submit an abstract/s. Non-members are subject to a submission fee of $140. Join now to get immediate access to the no fee opportunity.
How long can my abstract be? Can I include images?
The title of the abstract has a character limit of 200 (including spaces).
The body of the abstract has a character limit of 1,500 (including spaces).
Do not include figures, charts, or images in your abstract submission.
How many abstracts can I submit?
There is no limit to the number of abstracts an author can submit. Do not send multiple submissions of the same abstract. We will reject duplicate abstracts. Be sure to combine all related new information into one abstract.
Can I revise my abstract?
You can revise your submission before the deadline of 11:59:59 PM ET on November 19, 2024.
To make changes to your abstract prior to the deadline, follow the instructions provided in your submission confirmation email.
Can I add an author or remove an author from my abstract?
You cannot change the FIRST AUTHOR (the submitter). You can add additional co-authors up until the submission deadline.
When you submit an abstract, the submitting author is also the first author and the presenting author. If, after the abstract submission deadline, the submitting author is unable to present their abstract at IMMUNOLOGY2025™ and would like to change the presenting author, please contact meetings@aai.org before March 28, 2025. Please include a brief reason for the request and identify the new presenting author. The request must come from both affected authors (e.g., cc’ing one or both).
Select the new presenting author from the original authors included at the time of abstract submission. They must be registered to attend IMMUNOLOGY2025™ when you make the request. Any awards tied to the abstract presentation will be forfeited. After March 28, 2025, you cannot change the presenting author. Abstracts without an attending presenting author will be withdrawn. AAI will make all changes at its discretion.
What are the requirements of the co-authors?
All co-authors listed on your abstract should meet all of the following:
- Made substantial contributions to the conception and design, or acquisition of data, or analysis and interpretation of data;
- Contributed to the drafting of the abstract or revising it critically for important intellectual content;
- Given their final approval to you for the version included in the submission to be published;
- Given their approval to receive AAI-related emails.
How do I know if my submission is complete?
Your submission is complete when you select “Abstract Finalized” at the end of the abstract submission process. On the screen you will see the message, “Completed Submission”. You will also receive an email with your abstract number and the link to go back and review your submission.
Can I withdraw my abstract?
The submitting author may return to the abstract submission site to delete their submission at any time before 11:59:59 PM ET, November 19, 2024. Send requests to withdraw an abstract to meetings@aai.org after this date. Please include the abstract number, title, and reason for withdrawal. You must copy all co-authors on the communication..
How will I know if my abstract is accepted?
The presenting author will receive abstract status notices via e-mail to during the first week of March 2025. The presenting author must notify all co-authors of the abstract’s acceptance or rejection and disseminate the presentation scheduling information. If accepted, you will receive guidelines for preparing poster and podium presentations.
Award notifications will be sent by March 19, 2025. Please go ahead and reserve your hotel room now. You can cancel your hotel room at any time without penalty.
Should I register for IMMUNOLOGY2025™ to present my abstract?
Your abstract submission is separate from the meeting registration. Abstract presenters must be registered to attend IMMUNOLOGY2025™. Registration opens on December 10, 2024.
What is a late-breaking abstract?
Late-breaking abstracts are for those who miss the regular submission period. We only offer the opportunity to present these submissions as posters. Authors of late-breaking abstracts are not eligible for IMMUNOLOGY2025™ travel grants or awards.
Can I request my abstract be presented on a certain day or time?
Unfortunately, we are unable to accommodate date/time presentation requests. However, we will respect requests made due to religious requirements.
How many abstracts are accepted for a podium presentation?
Although there is no set number of podium presentations, we typically accept 25-30% of abstract submissions for podium presentations.
If I select the option to present a podium and poster presentation, am I guaranteed a podium presentation?
No. Those decisions are based on your submission. A panel of experts specific to your abstract’s topic category reviews each submission. On average, we accept approximately 25-30% of all submissions for a podium presentation.
What is the difference between a Major Symposium and a Block Symposium?
Both Major Symposia and Block Symposia feature speakers presenting their research via podium presentations. Major Symposia feature both invited faculty speakers, and trainee speakers selected from submitted abstracts. Block Symposia feature speakers selected from submitted abstracts only. We consider all submitted abstracts for presentation in Block Symposia. Only graduate students or postdoctoral fellows who are AAI members through December 31, 2025, can have their abstracts considered for presentation in Major Symposia.
What are the Exhibit Hall Hours?
Sunday, May 4, 8:00 AM – 3:30 PM HST
Monday, May 5, 8:00 AM – 3:30 PM HST
Tuesday May 6, 8:00 AM – 3:00 PM HST
When do I need to be at my poster?
If you are scheduled to present your poster on either Sunday, May 4 or Monday, May 5, you are required to be at your poster to discuss your work:
- Odd numbered poster boards (i.e. B101, B103, B105, B237, B389, etc.)
Between the hours of 10:30 – 11:45 AM HST on the assigned day. - Even number poster boards (i.e. B100, B102, B104, B238, B390, etc.)
Between the hours of 2:15 – 3:30 PM HST.
If you are scheduled to present your poster on Tuesday, May 6, you are required to be at your poster to discuss your work:
- Odd numbered poster boards (i.e. B101, B103, B105, B237, B389, etc.)
Between the hours of 10:30 -11:45 PM HST on their assigned day. - Even number poster boards (i.e. B100, B102, B104, B238, B390, etc.)
Between the hours of 1:15 – 2:30 PM HST.
When can I get into the Poster Hall to set up my poster? When must I remove my poster?
Set up: On your scheduled day, between 6:00 and 8:00 AM HST.
Removal: On Sunday and Monday by 3:30 PM HST. On Tuesday, 2:30 PM HST.
Posters not removed will be discarded.
Embargo and Copyright information
Abstracts serve as official communications of the meeting. The presenting author and co-authors must comply with the IMMUNOLOGY2025™ embargo policy. This states that abstracts must be based on results that have not been previously published and are not expected to be published before the meeting, unless the publication occurs after the deadline for abstract withdrawal. Do not submit abstracts that have been previously presented at a national or international meeting unless they include substantial new findings.
Abstract authors and co-authors retain their copyright but will be asked to sign the Oxford University Press (OUP) Standard License, granting OUP an exclusive license for all published content. Exempt from this request are direct employees of the U.S. Government, whose papers are not subject to copyright protection in the U.S., and non-U.S. government employees, whose governments hold copyright over the abstract.
By submitting an abstract, authors also grant IMMUNOLOGY2025™ permission to audio/video record or photograph podium presentations for later sale and/or publication. Presenting authors retain copyrights for their posters and presentation slides.
In submitting your abstract, you also warrant that you have exercised reasonable care to ensure that the abstract is accurate and does not contain anything which is libelous, or obscene, or infringes on anyone’s copyright, right of privacy, or other rights. IMMUNOLOGY2025™ regular and late-breaking abstracts are embargoed until the release of the meeting app, approximately April 4, 2025. News releases, media alerts, and news materials released in conjunction with IMMUNOLOGY2025™ must also be embargoed until this time.
All accepted IMMUNOLOGY2025™ abstracts will be published as an online supplement to The Journal of Immunology within 90 days following the end of the meeting and will remain permanently archived. Abstracts will also be available in the official IMMUNOLOGY2025™ App (for iPhone and Android) approximately 30 days prior to the meeting opening. Withdrawn or non-presented abstracts will be excluded from both the meeting app and the online journal supplement.
